WHAT IS THE PURPOSE OF THIS MANUAL?

To facilitate your participation in the 21st Pan-American Congress of Rheumatology, PANLAR 2019, providing you with a guide including everything you need to know, prepare for and share with all staff and suppliers involved in setting up and running your stand.

WHAT TIME DO I NEED TO ARRIVE TO SET UP MY STAND?

Free design stands may be assembled from 7pm on Thursday 25 April until 8pm on Friday 26 April, without interruption (*subject to change)

CAN I DISASSEMBLE MY STAND BEFORE THE END OF THE EVENT?

NO! It is important not to harm the image either of your company or the event and, as such, if you need to leave before the end of the event, you must leave someone in charge of taking your stand down.

IF I EXCEED THE DEADLINES FOR STAND ASSEMBLY, WILL I NEED TO PAY A SUPPLEMENT?

Yes, and that is why it is important to plan your schedule and avoid unnecessary charges. In the event of needing more time you will need to pay said charges directly with head office. The committee of the 21st Pan-American Congress of Rheumatology, PANLAR 2019 and the organisers accept no responsibility for additional charges resulting from failure to provide staff or to comply with available schedules, with the exhibitor being responsible for meeting any costs directly.

WHAT DOES MY STAND INCLUDE?

For design stands where the only thing being purchased is the space itself, the following is included: Exhibitor passes, the inclusion of the company logo with a link to its website on the trade or Exhibitor section of the event’s mobile app and website, a 110v electrical connection (for each 9sqm), fitted carpets, the cleaning of shared areas and aisles, and an invitation to the Welcome Reception for registered exhibitors.

In addition to the above, modular stands include: melamine panels (octanorm), basic lighting, and the name of the company on the front of the stand (display fascia).

ARE THERE COURTESY CAR PARKING SPACES FOR EXHIBITORS?

The hotel does have car parking spaces but there are no courtesy spaces for exhibitors.

IS THERE A CHARGE FOR ELECTRICAL INSTALLATIONS OR ARE THEY INCLUDED WITH THE STAND?

Stand spaces are fitted with a 110v electrical connection for each 9sqm.

IS EXHIBITION EQUIPMENT LEFT SET UP DURING THE CONGRESS COMPLETELY SAFE?

NOT 100%, so it is necessary to take preventive measures. If you have valuable equipment that may be stolen easily, we would advise you to provide stand security.

The committee of the 21st Pan-American Congress of Rheumatology, PANLAR 2019 and the organisers accept no responsibility for any items left behind or misplaced at your stand during its assembly, disassembly or during the congress.

CAN I GAIN ADMITTANCE TO SET UP MY STAND IF I HAVE NOT YET PAID?

NO, just like any other form of sponsorship, stands must be paid for prior to the Congress.

CAN I OFFER FOOD AND DRINK AT MY STAND?

OFFERING ALCOHOLIC DRINKS AT THE EVENT IS NOT ALLOWED.

HOW DO I REQUEST NAME BADGES/PASSES/ACCREDITATIONS FOR MY EMPLOYEES?

When setting up your stand you can collect:

  • 6 passes for stands measuring 9sqm
  • 8 passes for stands measuring 12sqm
  • 10 passes for stands measuring 15smq
  • 15 passes for stands measuring 18sqm
  • 20 passes for stands measuring 36smq

COST OF EXTRA PASSES: 100USD

HOW CAN I GET MY STAND CONNECTED TO THE INTERNET?

PANLAR 2019 has free Wi-Fi access, but if you need a private connection or to ensure a specific Wi-Fi speed for your stand, please indicate your requirements and Stand No. and send them to:  Andrea Moreira
